Give Every Client a Coach Dashboard, Not a Text Thread

A fitness and coaching app pairs a client-facing workout and check-in app with a coach dashboard that replaces spreadsheets and text-message check-ins, so you see your whole roster in one place and catch who's slipping before they cancel.

Who this is actually for.

Solo personal trainers

You're coaching 15-40 clients out of a phone, tracking programs in a spreadsheet and check-ins in text messages. Something falls through every week.

Boutique studios and small gyms

Multiple coaches, one roster. Right now there's no shared system, so client history lives in whichever coach's notes app they happen to use.

Online-only coaches

Your entire business is remote coaching and check-ins. A generic white-label app gets the job done but looks like every other coach's app, not yours.

Hybrid coaches running cohorts and challenges

You run 6-week group challenges alongside 1:1 clients and need both to live in the same system without paying for two separate tools.

// status_quo

Where this usually breaks down.

Most coaching businesses run on a stack that was never designed to run a business: a spreadsheet for programming, a notes app for client history, and a text thread for daily check-ins. Every new client means copying a template and hoping nothing gets mixed up. Every missed check-in is invisible until the client goes quiet for two weeks and then cancels.

White-label apps like Trainerize solve the tracking problem but hand every coach the same interface, the same branding, and the same feature set, whether it fits their business or not. Coaches running hybrid programs (group cohorts plus 1:1 clients) often end up paying for two tools because neither one handles both well.

The real cost isn't the busywork. It's the blind spot: without a dashboard that surfaces adherence and streaks across the whole roster, a coach finds out someone is falling off only when it's already too late to intervene, and churn looks random instead of predictable.

// what_gets_built

Five systems. One build.

01

Program + workout builder

Build a program once (sets, reps, rest periods, video demos, progression rules) and assign it to one client or fifty without recreating it each time.

Templates can branch by phase, so a 12-week program automatically shifts intensity or exercise selection at week 5 without the coach manually swapping anything. This is the piece that turns programming from a copy-paste spreadsheet exercise into a system: change the template once, and every client on that template inherits the update, which matters most for coaches running the same base program across a large roster with individual tweaks layered on top. It also means a coach can finally see, at a glance, which program version a given client is actually on, instead of guessing based on which spreadsheet tab was last edited.

02

Client logging and streaks

Clients log workouts, weight, and how a session felt directly in the app: on a phone, in the gym, without signal if needed, with the log syncing once a connection comes back.

Logged data feeds a visible streak, which does real work: clients with a streak to protect show up more consistently than clients relying on willpower and a coach's memory. For the coach, this replaces the text-thread check-in entirely: no screenshots of a workout log, no "did you get my message" follow-ups. Streaks and logs are also the earliest warning sign of disengagement: a broken streak or three skipped logs is a clear, visible signal, not a hunch, and it shows up before a client has mentally already decided to cancel.

03

Coach dashboard + check-ins

One screen shows the entire roster sorted by who needs attention: missed logs, broken streaks, upcoming check-in dates, and flagged notes all in one view instead of scattered across apps.

Weekly check-ins can be structured as a short form (energy, soreness, adherence, a note) that populates automatically into the client's history rather than living in a text message that gets scrolled past. For a coach running 30+ clients, this is the difference between reactive coaching, where problems surface only when a client speaks up, and proactive coaching, where the dashboard surfaces the problem first. It's also what makes a multi-coach studio workable: every coach sees the same structured view instead of relying on whoever remembers to check their own notes.

04

Progress history + charts

Weight, measurements, lift numbers, and adherence over time render as charts a client can see themselves, which does more for retention than almost any other feature:

Clients who can see progress stick around, and clients who only have a coach's word for it don't. History is permanent and portable across program changes, so switching a client from a strength phase to a cutting phase doesn't reset or fragment their record. For the coach, historical charts also make renewal conversations concrete: instead of "you're doing great," the conversation becomes "here's twelve weeks of data," which is a materially stronger position when it's time to discuss extending or upgrading a package.

05

Subscription billing

Recurring billing runs inside the same app clients already log into, so there's no separate invoice tool, no manually tracking who paid this month,

And no awkward moment where access continues after a card fails. Plans can support multiple tiers, a lower tier for app-only programming, a higher tier that includes weekly video check-ins, without needing a second system to manage the difference. Failed payments and cancellations are visible on the coach dashboard immediately, not discovered a month later during reconciliation. For a coach scaling past the point where manual invoicing is sustainable, this is usually the single highest-leverage piece: it turns coaching from a service billed ad hoc into a subscription business with predictable, visible revenue.

Answers, up front.

Do clients need to download an app from an app store?

No. It's built as a progressive web app that installs straight from a browser to a phone's home screen, which avoids app store review delays and lets updates ship instantly instead of waiting on approval.

What happens if a client works out somewhere with no signal?

Logging works offline. Entries are saved on the device and sync automatically the next time it has a connection, so a basement gym or a rural trailhead doesn't break the workout log.

Can I run group cohorts and 1:1 clients from the same dashboard?

Yes. Programs can be assigned to an individual or to a cohort of clients running the same challenge, and the coach dashboard shows both alongside each other instead of requiring two separate tools.

How does billing work if a client's card fails?

Failed payments and cancellations surface immediately on the coach dashboard, so a coach can follow up before access lapses or a client disappears without ever seeing a formal cancellation.

Can I migrate existing clients from a spreadsheet or another app?

Yes. Client history, current programs, and contact details are imported during setup so existing clients start on day one without re-entering their own program from scratch.
